Welcome to Cumbrian Getaways Website

Terms and Conditions for the self catering accommodation - The Cottage, Deanscales, Cockermouth and & The Apartment, Whitehaven.

All reservations will be confirmed by post or email and until this has occurred, no booking is made.

As soon as you receive the confirmation form, you must check it carefully and any errors reported to us immediately.

Booking Confirmation

A deposit of 20% of the final bill will be required no later than 7 days following confirmation of your booking. However, if the booking is 4 weeks or less, from the start date of your booking, payment must be paid in full.

You must be over 18 at the time of booking.

Please note that we reserve the right to decline any bookings or cancel any bookings already made subject to refunding any sums you have paid without further liability on our behalf.

Balance Payment

The balance of your holiday payment is due at least 4 weeks prior to your arrival.

Holiday Cost

The holiday cost covers the change over dates and times agreed at the time of booking. Included in the price is any gas, electric, fuel, bed linen and towels. This also includes a free ‘Welcome Pack’ and kitchen essentials.

Short Breaks

Short Breaks are accommodated on the following basis: Friday to Monday and Monday to Friday.

These can be arranged out of season and at short notice during the ‘Peak Season’.

Subject to availability, we can arrange other days and night rates. Please telephone to discuss your requirements.

Breakages/Damages

A security deposit of £100 will also be required at the same time as your final/balance payment. This is for the rare occasion when damage occurs, by negligence or a deliberate action taken by a Guest, which directly or indirectly causes loss to Cumbrian Getaways. The Guest agrees to indemnify such losses and that this forms part of the agreement at the time of booking. Losses include lost income, specialist expenses and the sourcing of alternative accommodation as necessary. The above deposit will also include loss of keys. If the keys are not returned on departure, we will deduct £50 from your deposit, to cover the cost of replacement keys and the inconvenience.

What we do ask, is if you do break anything, that you let us know within 24 hours, so that we can replace it for your benefit and that of future Guests.

Any deposit/balance of deposit will be returned immediately following a Guests departure, assuming there is no damage to the property or loss of keys.

Smoking Policy

Cumbrian Getaways properties have the following non-smoking policies:

Marina Apartment- Non smoking throughout the property which includes balconies, corridors, lifts etc. This is due to the nature of the accommodation provided.

The Cottage- Non smoking throughout the property. Guests are welcome to smoke in the grounds, as long as stubs are not discarded on the ground. Please dispose of responsibly, as there is a risk of a fire hazard in the grounds.

Pets

Sorry, no pets allowed. In the event of a Guest breaching this policy, then a levy charge will be made to cover any damage or additional cleaning incurred. An approximate charge of £100 will be deducted from your deposit.

Cot

We can provide a cot, but you must notify us of this requirement at the time of booking. Bed linen can also be provided, if required. There will be no charge for this service.

High Chair

We can provide a high chair, if required. Please notify us at the time of booking.

Linen

A full set of linen and towels are provided, with spare sheets in the event of accidents.  However, if your stay is for more than a week, we provide a full set of fresh linen and make up your beds at a time that is convenient to you. There is no extra charge for this service.

Key Collection/Arrival Times

The properties are not available before 4.00 p.m. on the day of arrival and must be vacated by 10.00 a.m. on the day of departure, unless otherwise stated on your holiday confirmation. This gives us the time we need to clean and prepare for the next Guests. We would appreciate a phone call or email to let us know your approximate time of arrival, so that we can make sure we are available to personally escort you to your property, show you around and handover the keys.

Car Parking

Marina Apartment- Secure parking is available in the underground car park – there will be a height restriction dependent on your vehicle. Otherwise, we can make arrangements, to park in the open car park. There is no charge for this facility but, vehicles are left at the owners’ risk.

The Cottage- There are car parking spaces available within the grounds and vehicles are left at the owners’ risk.

Electrical Appliances

In the event of an appliance breaking down, it will be repaired as soon as possible. We will not pay compensation in such circumstances.

Care of Properties

Our properties are lovingly cared for by us and we therefore ask that you treat them with respect and leave them clean and tidy.Please report any breakages or damages to us as soon as possible, preferably as soon as they happen, so that we can fix or replace these for your own comfort and prior to the next Guests arrival. The breakages/damages policy will apply.

Access to the Property

There will be occasions when we will require access to the property to carry out repairs, photography, Visit Britain inspections etc. Wherever possible, we will advise you as soon as we are aware of the date and time the access is required.

Cancellation Policy

When a reservation is made by telephone or by email and accepted, a contract exists between the Guest and Cumbrian Getaways. If for any reason the reservation is cancelled, in full or in part, a breach of contract exists. Cumbrian Getaways reserves the right to cancel a booking on any grounds it feels are necessary and will honour no liability by doing so.

Cancellation giving 4 weeks notice (except for Christmas and New Year where we will need 8 weeks notice) will have deposits returned in full, with no deductions. For shorter periods of notice, Cumbrian Getaways retains deposits of 20% to cover administration and any resulting loss of business.

Late cancellations. Where notice of cancellation is received within 14 working days of the first reservation date, the following conditions apply: Cumbrian Getaways will make every effort to re-let the accommodation, and therefore reduce the likely losses for the Guest.

If at the end of the reservation period, despite the efforts made by Cumbrian Getaways, the property is not re-let, then Cumbrian Getaways is entitled to claim damages which reflect the losses incurred as a result of the cancellation. This is the value of the reservation, less any re-let value achieved and deposits already paid.

Terms, Conditions, Contracts and Disputes are determined under English Law. Cumbrian Getaways ‘close’ for arrivals at 7.00 p.m. unless by prior agreement, at which time outstanding reservations are assumed to be non-arrivals. Non arrivals are ‘Late Cancellations’.

Holiday Insurance

We recommend that you purchase Insurance that covers for Holiday Cancellations.

Complaints

We work hard to ensure you have an enjoyable holiday and will appreciate any feed back, at the end of your vacation, by completing the questionnaire left in your Welcome Pack. However, if you do have any difficulties, these should be reported to Cumbrian Getaways straight away, so that we may resolve any problems that might occur and enable us to reasonably meet your holiday expectations. If still dissatisfied then you must write to us within 28 days of your return home.

Privacy Statement

This statement is Cumbrian Getaways privacy policy for this web-site, e-mail system and any written correspondence.

Cumbrian Getaways respects your right to privacy and is committed to protecting you.

No personal information will be displayed online in unsecured areas or accessible to the general public.

We do not reveal you e-mail address or other personal information to third parties, except to complete your booking transaction.

These third parties are not permitted to use, sell or rent for purposes other than approving your transaction.

We do not sell or rent out our customer information to any outside parties.

Use of your personal information including your e-mail address

When we ask you for information as part of the booking process, such as your name, billing address and e-mail address, this is used solely for the processing of bookings.

We use email as one of our primary sources of communicating with you, regarding your booking and you will receive a confirmation of your booking by email and/or letter.

In the unlikely event of a problem with your booking, we will also communicate this via e-mail, phone or letter.
